1. Who is responsible for your data
- For visitors to our website and Beeve customers using our product, Beeve is the data controller.
- When you use the Beeve chat widget on one of our customers' websites, that customer is the data controller and Beeve acts as a data processor on their behalf.

2. Information we collect
2.1 Information you provide directly
For Beeve customers and users of our admin app
When you sign up for Beeve or use our admin tools, we may collect:
- Name and contact details, such as your name, email address and company name
- Account login information
- Billing details and subscription information
- Messages and other content you send us, for example when you contact support
For end users who interact with a Beeve chat widget
When you chat with Beeve on one of our customers' websites, we may collect:
- The content of messages you send in the chat
- Contact details you share in the conversation or in forms, such as your name, email address, phone number or company
- Files and attachments you choose to upload
- Feedback you provide inside the chat
In many cases, this information is then shared with the Beeve customer whose site you are visiting, for example so they can follow up on a lead or support request.
2.2 Information collected automatically
Whether you are a Beeve customer or an end user using the chat, we may collect technical data about how you use our services, such as:
- Device and browser information
- IP address and approximate location (for example city or country level)
- Timestamps and duration of sessions
- Pages and screens you visit, and basic interaction events
- System logs and error reports to keep the service secure and reliable

4. Use of AI infrastructure (OpenAI)
Parts of Beeve are powered by artificial intelligence. When you interact with our chat features, some data is sent to our AI infrastructure provider, OpenAI, so we can generate helpful automated responses and keep the service secure and reliable.
4.1 What we send to OpenAI
Depending on how our customers configure Beeve, we may send OpenAI:
- The text of messages in a conversation
- Limited conversation context, such as previous messages and internal system instructions needed to generate a useful reply
- Technical metadata, such as language, timestamps and anonymised identifiers
We aim to apply data minimisation and, where technically possible, we reduce or pseudonymise personal identifiers before sending data to OpenAI.
4.2 Our relationship with OpenAI
- OpenAI acts as our data processor when providing AI services for Beeve.
- OpenAI processes data only on our documented instructions and only to provide the AI services to us.
- We have a Data Processing Agreement with OpenAI, including commitments on security, confidentiality and compliance with European data protection law.
- For API based use, OpenAI does not use your personal data to train its publicly available models.
We do not allow OpenAI to use your personal data for their own marketing purposes.
5. Legal bases for processing
If you are in the European Economic Area or the United Kingdom, we process your personal data under one or more of the following legal bases:
- Performance of a contract
To provide the Beeve service to our customers and users, for example creating accounts and enabling chat conversations. - Legitimate interests
For example to secure our systems, understand how our product is used and improve it, prevent abuse and provide customer support. We only rely on legitimate interests where they are not overridden by your rights and interests. - Consent
For certain uses, such as non essential cookies or optional marketing communications, we rely on your consent. You can withdraw your consent at any time. - Legal obligations
In some cases we are required by law to process certain data, for example for accounting or tax purposes.
7. International data transfers
Some of our service providers may be located outside of the European Economic Area or the United Kingdom.

Our customers may control how long they keep chat conversations and other data in their Beeve workspace. If you are an end user, please contact the relevant Beeve customer for details about their retention practices.

We take security seriously and implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure or destruction. These measures include, for example:
- Encryption in transit and at rest where appropriate
- Access controls and role based permissions
- Regular security monitoring and logging

No system can be guaranteed to be completely secure, but we work continuously to strengthen the security of Beeve.

If you are an end user of a Beeve chat widget, these rights are primarily exercised with the Beeve customer who is the data controller. We will support them in responding to such requests.
